Use Mail Merge for bulk Email
Mail Merge is a powerful tool that allows you to send personalized emails to a large group of people simultaneously. It merges data from a spreadsheet or database into email templates, customizing each email with the recipient's unique information.
Here’s how you can use Mail Merge to send bulk emails:
1. Prepare Your Data Source
- Create a Spreadsheet: Use Excel, Google Sheets, or another spreadsheet application to create a list of recipients. Include columns for each piece of personalized data you want to use, such as First Name, Last Name, Email Address, Company, etc.
- Check for Accuracy: Ensure all data is correct and properly formatted.
2. Create Your Email Template
- Compose Your Email: Write the email you want to send. Leave placeholders for the personalized fields that will be filled in by the Mail Merge. For example:
Dear <<FirstName>>, I wanted to reach out to you about <<ProductName>>...
- Save the Template: Depending on your email client, save this as a draft or a template.
3. Use Mail Merge in Your Email Client
Microsoft Outlook:
- Go to
Mailings
>Start Mail Merge
>Email Messages

Select Recipients
and choose your data source. - Click
Insert Merge Field
to add personalized fields to your email. - Preview the results to ensure the fields are merging correctly.

- Install the Yet Another Mail Merge (YAMM) add-on from the Google Workspace Marketplace.

- Go to your Google Sheet with the recipient data.

4. Send Your Emails
- After completing the setup, send the emails. Most mail merge tools will allow you to track opens and clicks as well.

- If your Mail Merge tool supports it, consider following up with recipients who did not open or click the initial email.
Notes:
- Avoid Spam Filters: Personalize emails sufficiently to avoid spam filters. Sending too many emails at once can also trigger spam warnings, so consider sending in batches if needed.
